Plan around activity rather than a calendar label
Explain which days or periods facilities will be used, expected busy times and any closures. A recurring outdoor activity may need a different arrangement from continuous work. Include whether the property remains accessible while organisers are away.
Review supplies and dates when use changes
Ask how quiet periods, additional events and final collection affect the accepted arrangement. Do not assume visits or billing pause without confirmation. Keep a responsible contact throughout the rental and report changes before the next expected service or activity.
Explain the quiet periods as well as the busy dates
Give the provider the activity schedule and identify who can admit agreed visits when nobody is running an event. Ask how equipment, supplies and servicing will be handled between sessions. Confirm any proposed pause or removal explicitly under the rental terms; an empty calendar does not automatically suspend an order, charges or the need to keep access available.
- Active and unattended dates
- Contact for visits between sessions
- Any pause or removal expressly agreed
