Understand where visitors will need facilities
Describe the event programme, peak simultaneous attendance and separated activity areas. Include food vendors, volunteers and workers in the expected use. Ask how toilets and washing can be arranged so a distant single location does not become the only option for every group.
Include service while the occasion is operating
Discuss cleaning and supplies for the actual duration and access during busy periods. Nominate an organiser who can coordinate suppliers and keep the approach clear. Equipment booking does not provide permission for the wider event or replace its separate safety and accessibility planning.
Decide whether one position serves the whole programme
Separate activities may create different periods of heavy use or make a single facility location inconvenient. Explain the areas, expected simultaneous attendance and people working outside public hours. Ask the rental team to review placement and service with the organiser. Keep the proposed service movement separate from crowd circulation rather than assuming toilets can be supported from any nearby driveway.
